Position: Community Coordinator
Reports To: Operations Manager (primary) Executive Director (secondary)
Hours: Part-time (24 hours)
Primary Focus: Coworking membership experience, in-house event support
Rate of Pay $22/hr
Core Responsibilities
Member Experience Ownership
The Community Manager owns the experience of every active member — not just when they walk in the door, but on an ongoing basis.
• Maintain a working knowledge of every active member's business, goals, current priorities, and challenges
• Conduct a brief intentional check-in with each active member at least once per month — in person, by phone, or by message — not waiting for them to come to you
• Track what you learn from these check-ins so you can act on it: connect them to someone, recommend a resource, flag a need to leadership
• Notice and respond to changes in member behavior — reduced visits, disengagement from events, or signs of stress — before a membership lapses
• Ensure every new member has a structured onboarding experience: a welcome, an introduction to other members, an understanding of what Covation offers, and a reason to come back
Intentional Member Connection
Community does not happen by accident. It is built through deliberate, specific introductions and programming designed to create real relationships among members.
• Make a minimum of two to three intentional member-to-member introductions per week — not general networking, but specific connections based on what you know about each person
• When making an introduction, explain why: what do these two people have in common, what could they learn from each other, or how could they support each other's business
• Track introductions you make and follow up to see if they connected — this is how you know whether your community-building activity is actually working
• Design events with connection as a goal, not just attendance — who specifically do you want to leave this event knowing each other better than when they arrived
• Create informal opportunities for members to interact: facilitated conversations, member spotlights, peer problem-solving sessions
Coworking Membership Growth
Growing coworking membership is a core accountability of this role, not a secondary one. It requires proactive, systematic outreach — not waiting for inquiries to come in.
• Maintain an active awareness of potential coworking members in the Williamsport business community: freelancers, remote workers, consultants, early-stage entrepreneurs, and small business owners who need flexible workspace
• Use every external networking event as an opportunity to identify and follow up with potential members — attendance at events is not the goal, conversations and follow-through are
• Own the full membership pipeline: inquiry, tour scheduled, tour completed, follow-up sent, decision tracked
• Respond to all coworking inquiries within 24 hours
• Give tours that are compelling and personalized — not a walkthrough of the space, but a conversation about how Covation fits the visitor's specific situation
• Follow up with every tour within 48 hours with a personal message, not a generic email
• Track where every inquiry goes and why — converted, lost, or still in pipeline — so patterns become visible
• Report membership pipeline status to leadership monthly
Event & Program Coordination
Events are one of the primary ways the community grows and stays connected. The Community Manager owns the execution of Covation's regular programming and ensures each event has a clear purpose beyond just showing up.
• Coordinate logistics for all recurring community events including networking events, workshops, and business socials
• For each event, define in advance: what is the intended outcome, who is the target attendee, and what will make someone feel it was worth their time
• Manage speaker scheduling, room setup, registration, and attendee communications for all events
• Follow up with attendees after events — a brief personal message or connection goes further than a mass thank-you
• Track attendance and engagement across events and report monthly — not just headcounts, but whether the right people were in the room and what happened as a result
• Identify programming gaps: what does the community need that we're not currently offering, and what would bring in new faces
What This Role Does Not Include
To maintain clarity across the team, the following are outside the scope of the Community Manager role:
• Marketing strategy, content creation, or social media management — that is owned by the Marketing Manager
• Program curriculum design or instructional delivery for Engage! MasterClass or other structured programs
• Grant writing, funder relationships, or compliance reporting
• Strategic organizational planning or financial decision-making
• Bookkeeping or formal financial management; expense tracking will be transferred to the incoming operations manager.
If tasks outside this scope are being regularly assigned or absorbed, that should be raised with leadership as a role clarity conversation.
What Success Looks Like
A Community Manager performing at standard in this role will demonstrate the following on an ongoing basis:
• Every active member feels known — not just recognized — and can point to a specific way Covation has supported their business
• Members introduce each other and refer new members because the community has created real value for them
• Coworking membership grows consistently quarter over quarter through proactive outreach and a managed pipeline
• No inquiry goes unanswered within 24 hours and no tour lead goes uncontacted within 48 hours of their visit
• Events have clear intended outcomes and attendance trends upward over time
• Leadership receives a monthly report without having to ask for it
• Problems, at-risk memberships, and opportunities are flagged before leadership notices them
• The coworking space feels like a community, not just a room full of people working near each other
• Leadership spends less time managing community operations and more time on organizational strategy
